I had the opportunity to ask Rebecca some questions about her business. Her answers show her heart and dedication to her work, and I want to share them with you.


📝 Origin Story

1. What inspired you to start your business?

Quill & Balance was born out of my deep love of data and small businesses. I’ve always loved the researching and analyzing that happens behind the scenes to make things successful + I believe that small businesses are the heart of America. Bookkeeping ended up being a perfect marriage of those two things. As a small business owner myself, I understand firsthand how overwhelming the financial side can feel. I wanted to help lift that burden of tracking numbers and trends for others – especially creatives, service providers, and fellow entrepreneurs – so they can focus on what they do best.

2. Was there a specific moment when you knew this was what you wanted to do?

I love tax season! I don’t do taxes myself, but I absolutely love looking for every item I can legally list as a business expense and seeing what happens when we file our taxes. It feels like a giant game to me, and I win once a year. I realized that others don’t see it that way, and they avoid their books as much as possible. Their stress ratchets up, and they dread everything about their business numbers. Once I realized that I love something that others detest, it was easy for me to raise my hand and say, “I’ll do it!”

3. What were you doing before you started this business?

I’ve worn a lot of hats! I’ve done everything from owning an Amazon store to baking out of my kitchen to reselling items and more. I’m a homeschooling mom of five (including quadruplets!) and a creative entrepreneur. Each role has taught me something different, but what tied them all together was organization, communication, and the drive to help others and bring a little joy into their lives.

4. How did you choose this location in Kansas City?

I live just outside Kansas City in Belton, Missouri, and serve clients virtually. I love the flexibility that remote work gives me and my clients, and I’m blessed to serve individuals all over. With that being said, I feel like my small business which serves other small businesses makes perfect sense to be nestled in the heartland of America. Technology allows me to take the heartland to support the hearts of small businesses everywhere.

🚀 The Business Journey

1. What was the biggest challenge you faced when starting out?

Getting people to understand that bookkeeping is more than just “data entry” is a hurdle. It’s very frustrating to see programs like QuickBooks try to convince people that they don’t need help. It is incredibly easy to mess up a business’s books without good training and experience. Helping small business owners see the real value in having clean books – how it empowers better decisions, more profitability, and peace of mind – took a lot of conversations and education. A good bookkeeper saves a small business money, and many people don’t realize that.

2. How has your business evolved since you first opened?

It’s become more focused and more aligned with who I love to serve: service-based and creative professionals. I’ve streamlined systems, narrowed my client base, and honed my voice. It’s no longer about saying “yes” to everyone – it’s about the right yeses so that I can provide the best service possible.

3. What has surprised you most about running your own business?

Honestly? How much mindset matters. You can have all the systems, tools, and knowledge, but if you don’t believe in what you bring to the table, it’s hard to show up with confidence. Also, how often I talk about QuickBooks and throw bookkeeping tips out now. (Sorry, friends.)

4. Can you share a moment when you almost gave up, and what kept you going?

There was a stretch where I was juggling homeschooling, family life, and onboarding a new client with a very complicated clean-up. As I slogged through the data and had to learn new systems to provide extra support, I wondered what I’d gotten myself into. But then it finally all came together and is now clicking along fantastically. That client feels very supported and has told me how much they appreciate no longer having to deal with any of this. Those moments are what keep driving me forward. I’m proud of the quiet work I do behind the scenes and the fact that I’m one of the first that sees the businesses that I work on hit milestones and find success.

💛 Personal Connection

1. What’s your favorite part of what you do every day?

The “aha” moments—when a client finally understands where their money is going, or when I show them they actually made a profit (even when they thought they didn’t). Watching their confidence grow as their business grows is the absolute best.

2. How has being a business owner in Kansas City shaped your life?

KC has such a supportive small business ecosystem. The people here understand that small businesses are the backbone of our community, and they always turn up and support. The small businesses in the Kansas City metro are full of gritty, hard-working, heart-centered entrepreneurs that want to make a difference. Being part of that energy has inspired me to keep showing up with excellence, even on the hard days.

3. What values are most important to your business?

Integrity, honesty, and confidentiality. I believe in transparent communication, doing things right the first time, protecting the privacy of the business owners that I work with, and treating every client like a human—not a number.

4. How do you balance work life with personal life?

Carefully. I homeschool my kids, so balance is more like a rhythm. Some days it’s chaos, other days it’s calm. I’ve learned to time block, batch my work, and fiercely protect family time. I value both parts of my life so much – bookkeeping and homeschooling – and I make sure that each part gets my best through careful planning.

1. How do you see your business fitting into the Kansas City community?

I see Quill & Balance as part of the invisible infrastructure that helps Kansas City’s small businesses thrive. When your finances are in order, everything else runs smoother. That’s the behind-the-scenes magic I get to contribute.

2. In what ways do you give back to the local community?

I try to go above and beyond when helping a new small business get their finances in order. I also refer clients to other small businesses in KC whenever I can – it’s one of my favorite things to do!

3. How have Kansas City residents supported your journey?

Through word-of-mouth, referrals, and encouragement. It’s been amazing to feel that Kansas City pride and loyalty – it really is a “big small town.”

4. What makes KC special as a place to run a business?

The people. There’s a grit-meets-grace vibe here that’s hard to describe but easy to feel. It’s collaborative, not competitive, and that makes all the difference.

✨ Differentiation & Expertise

1. What makes your business different from others in your industry?

I bring warmth, wit, and real-world experience to an industry that can feel cold, confusing, and boring. I’ve been the overwhelmed business owner. I know the questions my clients are too embarrassed to ask. So I understand that sometimes clients want all of the info and sometimes they just want to know they are okay. I bring zero judgment to the table and a passion to see them reach their success. Big online software systems, foreign outsourcing, and ai can’t replace a real human that understands the ins and outs of a specific business and the data running behind it.

2. What’s your signature product/service that people absolutely have to try?

My monthly bookkeeping packages are tailored specifically to the needs of each client that I work with. I offer value pricing where clients pay only for the services they need and not for extras that they will never use. They’re high-touch, clear, and designed to actually make sense. If a client has messy books or is behind on their books, then I bring that same level of service to cleaning everything up and getting them back on track.

3. What’s something about your business that might surprise people?

I don’t offer tax services. I stay in my zone of genius so that I can provide top-tier, focused support. And I have an excellent CPA that I refer clients to for tax issues. She’s a small business, of course!

4. What industry secrets or insider tips can you share with our readers?

Your bookkeeping shouldn’t be an afterthought. Reviewing your numbers monthly, even for 10 minutes, can change the trajectory of your business. There is power in the data if you keep up with it and have someone explain what is going on with your financials. And please: don’t categorize everything as “miscellaneous.”

🌱 Looking Forward

1. What are your goals for the business in the next few years?

I want to grow intentionally, adding just a handful of dream clients each year. My goal isn’t to become a massive agency because I believe the small business model is best. I want to provide stellar, personalized support while still being present with my family.

2. How do you see your business evolving with changing market trends?

There has been much discussion in the accounting world about AI and what might happen with that. The truth is that automation is great, but it can’t replace true personalization. I’ll continue to leverage smart tech while keeping the human touch front and center because that is irreplaceable. Relationship-first bookkeeping is here to stay.

3. If you could wave a magic wand, what would the future of your business look like?

I’d have a very small team of like-minded bookkeepers and a thriving client base full of creative service-based small businesses.

4. What advice would you give to someone wanting to start a similar business?

Know your why. Be picky about your clients. Know the software inside out. Never ever stop growing your knowledge base. And never underestimate the power of clear, honest communication and kindness. It’s not just about the numbers. It’s about trust.
